Use and Personal Use of Cinderella, Inc. Computer Resources

While Cinderella, Inc. resources are intended for business use, limited and occasional personal use of company resources may be acceptable.  The key is the use of good judgement.  If there is any doubt if a particular use is acceptable, discuss it with your supervisor.

Cinderella, Inc.'s resources are intended for business use.  This includes computers and telecommunications services.  That said, Cinderella recognizes that employees may occasionally use company resources for personal use such as a copy machine, telephone call, or e-mail.  Personal use of company resources on an occasional and limited basis is acceptable as long as good judgement is followed, there are no measurable increased costs, and co-workers are not distracted by the use.

As in many situations like this, it is not always possible to draw clear lines nor can we cover in policy statements every situation in terms of what is or is not allowed.  Good judgement should be the guiding principle along with consideration of the following factors:

Cinderella's computer systems and telecommunication networks are business resources and are provided to help employees' job performance in support of Cinderella's business goals and objectives.  Just as with any other performance issue, personal use that detracts from job performance will be addressed by your supervisor.

These resources must not be used for personal business, chain letters, for-profit activities, or unauthorized organizations and activities.  (For example, supporting an extremist group that promotes hateful and violent causes is unauthorized.  However, company-authorized campaigns for charitable organizations such as United Way are appropriate.)

In general, you shouldn't do anything on Cinderella's computer systems that your judgement would suggest would be inappropriate spoken, on paper or delivered through the mail.

Use of Cinderella, Inc.'s computer systems, including appropriate personal use, must always be in compliance with legal requirements and company policies.  In particular, they must never be used to process, file, store or send material that is potentially offensive or harassing, particularly relative to race, national origin, sex, sexual orientation, age, disability, religion, political beliefs or illegal content such as gambling.  Cinderella will not tolerate the use of its computer resources for these illegal or improper means.  If you engage in these activities you should expect that your employment with the Company may be terminated.

Cinderella's computer resources, including, but not limited to telephone services, internet access and e-mail, are company- owned and the company reserves the right to review or monitor these systems for legitimate business needs.  Although Cinderella does not routinely monitor employee calls and e-mails, the company may review individual accounts occasionally such as when audits are conducted or when illegal or improper incidents are investigated.

Cinderella, Inc. – E-Mail Policy

The E-mail system is provided by Cinderella to employees and other authorized users to assist them in carrying out Cinderella's business.  E-mail allows users to communicate with one another internally as well as with outside individuals and companies via the Internet.

The E-mail system is to be used for business related purposes only.  Cinderella treats all messages sent, received or stored in the e-mail system as business information and Cinderella property.  Cinderella has the capability and reserves the right to access, review, copy or delete all messages for any purpose and to disclose them to any party it deems appropriate.

Employees should be aware that messages sent, received or stored in the system could become public knowledge at any time.  An e-mail message sent over the Internet is like a postcard.  As your information travels through the Internet, any person at an intermediate computer can view your message, make copies, alter content, and add or remove recipients, all with your name and address still attached.

Confidential Information
Employees must exercise a greater degree of caution in transmitting Cinderella Confidential information on the e-mail system than they take with other communication tools, (e.g., written memoranda, letters or phone calls) because e-mail can be redistributed to larger groups of people so easily.

Cinderella Confidential information should never be transmitted or forwarded to outside individuals or companies not authorized to receive that information, and should never be sent or forwarded to other employees inside Cinderella who do not need to know the information.

Always use care in addressing e-mail messages to make sure that messages are not inadvertently sent to outsiders or the wrong person inside Cinderella.  In particular, use care when using distribution lists to be sure that all addressees are appropriate recipients of the information.  Individuals using lists should take measures to ensure that the lists are current.

E-mail Etiquette
Keep the message short and to the point.  Refrain from routinely forwarding messages to multiple parties unless there is a clear business need to do so.  Please bear in mind that your e-mail messages may be read by someone other than the person you send them to and may even someday have to be disclosed to outside parties or a court in connection with litigation.  Accordingly, please take care to ensure that your messages are courteous, professional and businesslike.  Please do NOT type in ALL CAPITAL LETTERS as that is considered "SHOUTING" and does not have a professional appearance.

Prohibited Uses
The use of the e-mail system to engage in any communications that are in violation of policy is prohibited.  The following are some examples of prohibited uses of e-mail:

Chain letters.  defamatory, obscene, offensive or harassing messages.  Messages that disclose personal information without authorization.
Message Retention
E-mail messages that no longer require action or are not necessary to an ongoing project should be promptly deleted.  Stored e-mail messages should be reviewed regularly to identify messages that are no longer needed.

Cinderella Inc. Policy on Computer Systems and Telecommunications Security

Background
Cinderella relies heavily on computer systems and telecommunications networks to meet their operational, financial and informational requirements.  It is essential that these systems be protected from misuse.  Both the application/data owner, users and Management share responsibility for such protection.

Cinderella's information security objective is to preserve the integrity, confidentiality and availability of Cinderella's electronic information assets, in support of Cinderella's business goals.

Application of Policy
The following policy statements apply to all electronic information assets used by Cinderella.

The term computer system is used in its broadest sense and includes all associated computer storage devices and display devices, telecommunications networks and access devices whether directly attached or remotely connected via one of the many types of telecommunication paths available.

Policy Statement

  1. All use of computer systems must be for business or authorized purposes only.
  2. Employees and other authorized users are responsible to protect passwords and other security authentication mechanisms from unauthorized use or disclosure.
  3. Employees and other authorized users are required to immediately report all information security violations and incidents to Management.
  4. Employees and other authorized users will not carryout or take part in actions or install files or programs that are illegal or in violation of Cinderella policy, including, defamatory, obscene, offensive and harassing material or unauthorized system or network (hacker type) tools.
  5. Employees and other authorized users whose employment or contract is terminated shall promptly return all Cinderella property used in connection with computer systems such as portable computers, software, communication equipment, authentication devices, electronic signature, manuals, documentation, and other materials.
  6. Separation between outside networks and Cinderella computer systems must be maintained with appropriate physical and/or logical access controls.  Outside access to Cinderella networks must be approved by Information Security.
  7. Management is responsible for the acquisition and management of all software used as part of the operational infrastructure, including general use operational software, system tools, operating systems and their respective data files.  The acquisition or use of non-standard operational utilities is unauthorized without approval of Management.
  8. The costs of acquisition, development and operation of computer applications must be authorized by appropriate management.
  9. The use, sale or release of system time, hardware resources, network resources or applications to persons or organizations to be used for non-Cinderella business activities is prohibited without the prior written approval of Management.
  10. All licensed software used on computer systems must be supported by a software license agreement that specifically describes the usage rights and restrictions of the product.  All must abide by all license agreements and must not illegally use or copy licensed software.
  11. The removal of computer hardware, software and/or associated equipment from Cinderella premises for extended use in a non-Cinderella location must have the approval of Management.
Violations of this policy may subject the person responsible to disciplinary action up to and including termination of employment.
